You trust us with the details of some of your biggest days. Here’s exactly what we collect, why we collect it, and what you can ask us to do with it.
Plain English, first
- We only ask for what we need — your name, contact details, and event plans, so we can answer you and hold your date.
- We don’t sell your information. Not to advertisers, not to vendors, not to anyone.
- We use Google Analytics to see which pages are helpful. It tells us about visits, not about you by name.
- You can ask us to show, fix, or delete what we have. Texas law gives you that right, and we’ll honor it.
Who we are
The Gathering House is an event venue located at 4842 Mackey Ranch Rd., Eddy, TX 76524, operating as The Gathering House. This policy covers the information we collect through this website and through inquiries, tours, and bookings that begin here.
Throughout this policy, “we,” “us,” and “our” mean The Gathering House. “You” means anyone who visits this site or contacts us through it.
What we collect
We collect two kinds of information: what you hand us on purpose, and what your browser shares automatically when you visit.
- Information you give us. Your first and last name, email address, phone number, event type, preferred dates, guest count, and anything you write in a message or tour request.
- Booking details. If you reserve a tour or a date, we keep the details of that reservation — the date and time, the type of event, and our correspondence about it.
- Payment information. Deposits and payments are handled by our payment processor. They receive your card details directly; we never see or store full card numbers.
- Site usage. Through Google Analytics we receive general details like the pages you viewed, roughly where in the world you are, the type of device and browser you used, and how you found us.
We do not ask for sensitive information — things like health details, precise location, or government ID numbers — and we’d ask that you not send them through the forms on this site.
How we use it
- To answer you. Responding to questions, sending availability and pricing, and scheduling tours.
- To host your event. Confirming dates, preparing contracts and invoices, and coordinating the day itself.
- To keep our records straight. Bookkeeping, insurance, and the business records Texas requires us to hold.
- To improve the site. Understanding which pages are useful so we can make the rest more useful too.
- To follow up, if you say yes. We’ll only add you to a mailing list if you ask to be on one, and every email we send has an unsubscribe link.
We do not use your information for targeted advertising, and we do not profile you to make automated decisions about you.
Cookies & analytics
This site uses Google Analytics, which places small files called cookies on your device so it can tell a returning visit from a new one. It reports to us in aggregate — page views, sessions, general location, device type — not as a list of names.
You can turn cookies off in your browser settings, or install Google’s Analytics opt-out add-on. The site will still work; we’ll simply see less about how it’s being used.
We do not run advertising pixels or sell any of this data to advertising networks.
Who we share it with
We do not sell your personal data, and we do not share it for targeted advertising. We share it only with the companies that help us run the venue, and only as far as they need it to do their job:
- Our website host and form provider, which delivers your message to our inbox.
- Google Analytics, for the usage statistics described above.
- Our scheduling and payment tools, for tours, contracts, and deposits.
- Vendors you ask us to coordinate with — a caterer or planner, for example — and only with your go-ahead.
- Professional advisors and authorities, if the law requires it or we need to protect the safety of guests and staff.
How long we keep it
Inquiries that don’t turn into a booking are kept for two years, in case you come back to us. Records tied to an event you actually hosted — contracts, invoices, and correspondence — are kept for as long as our accountant and insurer require, generally seven years. After that, we delete them or strip the identifying details.
You can ask us to delete your information sooner, and we will, unless we’re legally required to hold onto a particular record.
How we protect it
This site is served over an encrypted connection. Access to inquiries and booking records is limited to the people who need it to do their work, and our accounts are protected with strong passwords and two-factor authentication where it’s offered.
No system online is perfectly secure, and we won’t pretend otherwise. If a breach ever affected your information, we would notify you and the appropriate authorities as Texas law requires.
Your Texas privacy rights
Under the Texas Data Privacy and Security Act, Texas residents have specific rights over their personal data. We extend these same rights to every visitor, wherever you live.
What you can ask us to do
- Confirm and access. Tell you whether we hold information about you, and show you what it is.
- Correct. Fix anything that’s wrong or out of date.
- Delete. Erase the personal data we hold about you.
- Take a copy. Provide your data in a portable, readable format.
- Opt out. Of any sale of personal data, targeted advertising, or profiling — none of which we do, but the right stands.
How to make a request: Email thegatheringhouse4842@gmail.com or call +1 512 234 0672 and tell us what you’d like. We may ask a question or two to confirm it’s really you. We’ll respond within 45 days, and if we need more time, we’ll tell you why before that window closes.
If we say no: You may appeal by replying to our decision within a reasonable time. We’ll review it and respond in writing within 60 days. If we deny the appeal, you can file a complaint with the Texas Attorney General.
Children’s privacy
This site is meant for adults planning events. We don’t knowingly collect information from children under 13. If you believe a child has sent us information through this site, contact us and we’ll remove it.
Photos at events
From time to time we photograph the venue for our website and social media. Whether and how we photograph your event is covered in your rental agreement, and we’ll always ask before using an image of your celebration publicly.
If a photo of you is already published and you’d like it taken down, just ask. We’ll remove it.
Other websites
Our site links out to a few places — social media profiles, map services, preferred vendors. Once you follow a link, you’re on their turf and under their privacy policy, not ours. It’s worth a read before you share anything with them.
Changes to this policy
If our practices change, we’ll update this page and change the “last updated” date at the top. If the change is a significant one, we’ll say so plainly on the page rather than quietly editing a line.
